Are you paying for Microsoft 365 you do not use?
Microsoft 365 bills quietly month after month, and it rarely gets looked at again after the day it was set up. People leave, roles change, add-ons get bought for a trial and forgotten, and the plan chosen years ago may no longer suit how you work. A cost review finds out what you are paying for, what you actually use and where the two do not match.
What I look at
Licences compared with how people work
Whether each person is on the right plan, or on a more expensive one than their job needs.
Unused and duplicate licences
Accounts for people who have left, licences nobody has signed in with, and mailboxes that may not need a licence at all.
Plan and add-on choices
Whether a different plan, or dropping an add-on, would cover what you really use. I also check for separate subscriptions that do the same job as something you already own.
Security you may already have
Many plans include security features that were never switched on. Using them can be cheaper than buying another tool.
Billing and commitments
How you are billed, when it renews, and whether a commitment or payment option is costing more than it should.
Who is supplying your licences
What you pay your current supplier and whether the invoice shows each licence clearly.
What you get
A short written report in plain English: what you pay now, what is actually in use, what I would change and why, the estimated saving, any risks, and the things I would leave alone. You decide what happens next, and there is no obligation to act on it.
How it works
- A conversation. We talk about what you have, what you pay and what you want from Microsoft 365.
- A read-only review. With your agreement, I look at licences, usage and billing using read-only access, so nothing in your setup is changed during the review.
- A report and a call. I explain the findings and the options. If you want help making the changes, I can do that, and I will agree the scope and price with you first.
Who it suits
Businesses, schools, charities and parish or town councils with more than a handful of users, anyone who has never had their licences reviewed, and anyone who has taken on Microsoft 365 from a previous supplier or IT person. Schools and charities may be eligible for different licensing, and I check what applies to you.
Frequently asked questions
How much does a Microsoft 365 cost review cost?
I will agree the scope and price with you before I start, so you know what you are paying for. The aim is for the review to save more than it costs.
Will you change anything in our Microsoft 365 setup?
Not during the review, which uses read-only access. Any change is agreed with you first.
Do I need to be with a particular supplier?
No. I can review licences whoever supplies them today.
Do shared mailboxes need a licence?
Often not, unless they are very large or need extra features. Microsoft's rules change, so I check the current position for your setup.
Is this the same as Microsoft 365 support?
No. Support looks after users and administration day to day. A cost review is a one-off look at what you pay and whether it makes sense. The two work well together.
